Hi everyone, Tom Hughes here from GembaDocs, and welcome to another product update! This month is action-packed, so here’s a quick overview of what’s new in August.

Dashboard and Kanban Improvements We’ve made major updates to the SOP and Kanban dashboards to make sorting and filtering much easier. You can now sort by date created, modified date, and review frequency, making it simpler to prioritize processes. You can also filter by creator or tags, which is helpful if you want to organize your SOPs or Kanbans by the creator or specific tags.
Password Protection for PDFs You can now password-protect your PDFs. In the Advanced options at the bottom of your SOP document settings, there’s a new option for PDF password protection. Enter a password of at least eight characters, and it’s secured—only accessible to those with the password.
Systematic Review Feature We’ve introduced a systematic SOP review feature to help you drive improvements. You can set review frequencies (monthly, quarterly, annually), making it easier to keep track of when processes were last reviewed and prioritize accordingly. During a review, you can edit documents directly and save the changes for future reference.
Extended Video Length for Process Steps Process step videos can now be 60 seconds, doubled from the previous 30-second limit.
Date Format Options In the settings, you can now select the date format (EU, UK, or US), which is handy for various regions.
Translation Improvements We’ve improved the German and Portuguese translations, thanks to our customer Milan in Germany and Enrique in Brazil. Their work has enhanced the user experience for our non-English users.
Kanban Updates
- Printed Flag: A new feature allows you to mark Kanbans as “printed.” Once flagged, you’ll see the printed tag, which helps keep track of what’s been printed.
- Tags and Barcode: Kanban tiles now support tags for easier organization, and you can also upload a barcode instead of URLs on the back of Kanban cards.
Additional Improvements
- Duplicate SOP Navigation: When you duplicate an SOP, it now automatically opens in the editing mode, saving you time.
- Link Sharing in App: You can share SOP links that open in the app, allowing users to view SOPs step-by-step on mobile.
- Tracking QR Code: For those who need traceability, there’s a new tracking QR code option for SOPs.
Small Fixes Lastly, we’ve updated the German flag to the correct version without the eagle.
